Attaching EAMS xml documents as PDF - How To?

Dear Michael,

How would we convert the EAMS documents that are saved in xml format (for example: f41.xml) into PDFs - For attaching to emails?

Hi Michael - There are TWO WAYS to do this. One way attaches it to an Email as a "flattened" PDF file which means the recipient of the Email cannot change the PDF document. Here are the steps:

(With either way, first always make sure you have already clicked SaveToDisk first to make sure all changes are saved. This will not be necessary if you are pulling up an old EAMS form by clicking the View button).

1. Go to the client card, click Forms then single click on the EAMS document and click the VIEW button to view the saved form.

2. Click the EMAIL button at the top middle of the screen (to the right of the POB link in blue at the top of the screen). A1-Law then flattens and opens the PDF in Acrobat and saves a temporary copy on your desktop.

3. From Acrobat just click File, Attach to Email and you are done. :)

To attach the file as an EAMS form when viewing the document, you would just click the EMAIL link at the upper left on the acrobat toolbar within A1-Law when viewing the EAMS document (it's the button to the right of the printer button on the toolbar

Thank you very much for the information Michael.

I was trying to figure how how to attach the newly created PDF file to something else than the default (Outlook,etc.) email program - for example a Hotmail or Yahoo account.

The best setup I could tell was: (Please let me know if I have this correct)

1. If this is a new document or if you have made changes - Click on the "Save to Disk" (button).

2. Click on the "Email" (button). In the Continue (window) - Click on the "Yes" (button)

3. In the 2nd Continue (window) - Click on the "Yes" (button). Adobe Reader/Acrobat will open up a pdf file.

4. Close this Adobe PDF file.

5. On your desktop should be a file called "DWCTMP.PDF" - Open this file to make sure it is the correct file you want to attach.

6. Rename the DWCTMP.PDF file to something appropriate - (example: JohnsonAppforAdj)

7. Now from your Email program you can attach this file from the Desktop right into your Email message.

8. When you are done you can Move to an Appropriate Folder/Delete/etc. the desktop pdf file you just sent.

Note: It looks like it's okay to change the current DWCTMP.PDF file because it is always re-created (or copied over) when you convert the next A1 EAMS file from xml --> pdf using the "Email" (button)

Right- you are correct about the temporary file. If Adobe Acrobat's File, Attach To Email is not working then you could attach the temporary file from the desktop to any internet Email account.

I should have added I'm thinking about creating a feature to FLATTEN the EAMS forms to PDF format when they no longer need to be edited from within A1-Law then you can Email it just like your would any other document using the Attach button so that the filename is copied to the clipboard.

One more step towards paperless. Awesome.

*After speaking with the staff this idea came to us:

Would it be possible to add something like an EAMS "Convert to PDF - Case Activity" (button) - which would flatten the document and save it automatically in Case Activity as Event: "PDF - (Date of the Document) - (Date PDF created) - (Name of the Document)"?

That way all you would have to do is use the already Existing Saved Documents - Attach (button) or from Case Activity - Right-Click "Attach Document filename to the clipboard" on the new Case Activity for simplified attaching - plus you would have the exact date saved when you turned that into a PDF.

Also if we go into the EAMS original xml document - It already says "Previously saved PDF Court Form" (very cool) to alert us we have already turned it into a PDF before.

This would save us a bunch of steps... especially since we plan to do this LOTS in the near future.

But do you think once the staff "flattens" the PDF they would ever need to edit it again or would they just do another one from scratch?

For record keeping (statute, etc.) purposes it looks like having a global option (Configure System Defaults) to automatically flatten the EAMS document (turning the saved 'attached" document from an XML to a PDF) would be very important.

The only time that the document gets changed is if someone accidently typed in the incorrect information.

With this option the staff would be informed to please double-check the information for correctness before saving since they would have to re-do the EAMS document in the future if there is a mistake.
